Editing Sent Recallable Email
Q: What is a "Sent Recallable Email"?

A: A Sent Recallable Email is an email that you have complete control over using the revolutionary technology used in the Bigstring email service. This type of email has MANY different controls that you can use to edit, recall, change attachments, delete attachments, and much more.

After you have sent a recallable email you have the option to edit that message in many ways.

1. Access The Controls
To access the controls and edit the message click on Edit Sent Mail on the toolbar.


2. Select an email to Edit
You will see a list of emails that you have sent as recallable. This list is very similar to your NON-Recallable Sent Email folder. Note that there are 2 different folders for recallable and non-recallable email messages. Select the email you wish to edit by clicking on it's subject line.



Let's review a few of these fields first.
  • Edit Recallable Email box management, and the "Tag" box.
    Use this checkbox to flag an action such as deleting completely. You can delete an email by checking the "Tag" box, and then clicking "Delete Selected". This will "delete" (or more correctly, "expire") your message.
    This also serves the function of getting the email out of your Sent Recallable Email box. Otherwise the message will stay there indefinitely. These emails will affect quota. If you need some more space, you may want to think about deleting all the old messages you already know have been read.

  • Subject
    As we can see by the bold subject and the envelope icon here, Jane Doe has not read this message yet. Once she has read this email, the envelope will change to the opened icon, and the subject of the email will no longer be in bold text.

  • To Learn more about how "To", "CC", or "BCC" addresses are handled
    The "To" field is whom you sent the message to.
    If you CC'd or BCC'd someone on the same message, there would be a another email identical to this one here, but the "To" field would represent one of the CC'd addresses. This is so you can individually control the email for each recipient whether they were the "To", "CC", or "BCC" address.

  • Sent

  • The sent field has 3 different modes.
    The text color will change, based on what sent mode the email is currently in.

    1. Black:03/19 09:13am - The email has been sent.
    2. Green:03/19 09:13am - The email has not been sent. It is in "delayed send" mode. This is a Preference setting that will delay the sending of an email for a specified amount of time. This gives you time to decide whether you actually want that email to send or not.
    3. Red:03/19 09:13am - The email has not been sent. This would only happen on a system malfunction, such as the recipient's server is not responding. The system will attempt to send this message every five minutes until it is successful.

  • Expires
    This field will tell you when an email will expire, whether it has been read or not.

    The "Expires" field has 2 modes with 2 descriptive colors
    The text color will change, based on what expiration mode the email is currently in.

    1. Waiting
      • Green:Waiting - The expiration timer will start on the first view of this email. See Preferences Section #5 for more information.

    2. Date/Time Stamped
      • Black:03/19 09:13am - The email has been read, and it has not expired. The recipient can continue to view this email until the time for expiration is met, the email runs out of views, or you manually delete/expire the message.
      • Red:03/19 09:13am - The email has expired.
        The time stamp in red is the date and time that the email expired.

  • Read
    This field tells you whether or not the email has been read.
    There are 2 modes for this field.

    1. Date/Time Stamped
      • 03/19 09:13am - This is the date that the email has been read, or at least opened by the recipient
    2. Waiting
      • Green: Waiting - The email has not been read, and it has not expired.
      • Red:Waiting - The email has not been read, and it has expired.
        Since the recipient never read this message, you can add more time to it through the editing functions and it will be viewable again when the recipient decides to check their email.


3. Editing Recallable Mail
To edit an email you have already sent, simply click the subject of the email that you wish to edit.
This will take you to the editing screen:

Lets Examine a few controls we have available on this screen*

  1. The button will save any changes you make to the email. You can make as many changes as you like as many times as you like.

  2. The button will insert an image into the body of your email. This is also how you can "Swap" a previously sent image. Just delete the image from the body of the email, and then click this button to upload a new one to be sent inside your edited message.

  3. How Many Views - Adjust the number of times you wish the email to be viewed here. If the views runs out before the timer runs out, the email will expire. It means exactly what it says; "How many times can this email be viewed".

  4. Expire Message - Controls when the message will expire and the recipient will no longer be able to view it. This will work regardless of whether the recipient has already viewed the email or not.
    • In this example, the timers are all at zero because our preferences were to start the expire timer from when the email was viewed, instead of when the email was sent. As soon as the recipient views the email for the first time, our timer will start the countdown for how long they can continue to view the message.

      For instance, we sent this email with the settings to start the timer after the email is viewed, and to leave the email available for viewing for 3 days. Once the email has been read you can go back and look at your timers and see how long the email will be available.

      Since the email has already been read, we now start the timer countdown.
      If you want to adjust the time here, you can. You can add an extra month of viewing time on here if you would like. Add an extra hour, day, etc. You can also reduce the time it will be available for viewing here.

      If your preferences were set to start the expire time when the email was "sent" instead of "viewed", the timer would start automatically. It would show the time remaining regardless of whether the email had been opened or not.

  5. Control your attachments here. You can add or delete attachments from a message with the controls at the bottom of the current message window.


4. Finish
Once satisfied with all of your changes, just click the "Save" button to return to the Edit Sent Mail box.
